Position: Front Desk Assistant for W.E. Graham Community Service Society (WEGCSS)

Part Time                            8 hrs/week (one day)                   $18/hr.

About WEGCSS: WE Graham Community Service Society provides programs and services to residents of the rural Slocan Valley.  Where possible, WEGCSS also refers people to the services of other local organizations.

About the position: This is a public facing position which requires an organized and responsible person who is good at dealing with people, fielding enquiries and recording information. The Front Desk assistant should have an interest in supporting our community, programs and services, and be comfortable in a busy work environment, handling money and documents.

Duties and Responsibilities:

  • Answer phone, take messages and deliver to the right people.
  • Monitor front desk emails and respond or forward as necessary. 
  • Help whomever comes in the office with their queries.
  • Take registrations of all kinds: (Food Bank, Volunteers, Holiday Hampers, WEGCSS Memberships, and so on)
  • Help people use the printer/copier if the Learning Centre is not available.
  • Print posters and post them around the village for local events.
  • Post WEGCSS and community events on our website and Facebook
  • Help everyone find documents, records, services and people as needed.
  • Help potential volunteers with questions and sign up processes.
  • Pick up mail for WEGCSS and school.
  • File paperwork as needed and assist in maintaining filing systems
  • Keep track of Petty cash, and roll coin from petty cash and donations for deposit on a monthly basis.
  • Maintain and update contact lists of everyone. Staff, members, Board, volunteers, donors, services etc.
  • Maintain office supplies as required.
  • Assist Operations Manager in other administrative tasks as required.
  • Maintain an organised and tidy front of house office space and digital space.

The Front of House assistant reports to the Operations Manager.

Required Skills and Abilities:

  • Ability to work with a diverse range of people in an inclusive and non-judgmental way.
  • Friendly disposition, personable and able to build harmonious working relationships with colleagues, clients, organization partners & members of the general public.
  • Ability to maintain and preserve confidentiality and act with tact and diplomacy.
  • Good organizational, administrative and computer skills.
  • Attention to detail in handling documents and recording information.
  • Social and cultural awareness, and sensitivity is an asset.
  • Able to multi-task, handle changing priorities & work in a busy environment.

Requirements:

  • Satisfactory Criminal Record Check.
  • Experience working with Microsoft Office products including Office 365, Excel, Word, and Outlook. Knowledge of other software such as Sumac, Canva, Sharepoint, WordPress, would be advantageous, but training will be provided as necessary.
